Monthly salary range:  VND 26,928,611 – VND 30,175,118

The Australian Consulate-General in Ho Chi Minh City is seeking a self-motivated, well-organised and qualified candidate for an expected vacancy to fill the position of Consular and Passports Assistant Manager.  This role is both challenging and rewarding and we are looking for someone who thrives in a team environment and enjoys delivering a high standard of customer service, even when working under pressure or in distressing circumstances.  The Consular and Passport Client Services officer is the face to our organisation and you will be working closely with our clients on a daily basis, a true desire to help others is must for this role.

This position will be offered to the successful candidate on a contractual basis.  Selection for this position will be based on merit and judged against the following specific selection criteria.

1. You must have highly advanced communication skills with the ability to translate and interpret technical, legal and medical information between English and Vietnamese, both in the office and when liaising with government officials and agencies on behalf of the Australian government and your clients.

What would really make you stand out is that you have studied or worked in Australia and have a good understanding of Australian culture.

2. You must have a proven ability to supervise a team, determine priorities and work effectively with your colleagues to achieve competing priorities.  You should be able to demonstrate your sound judgement in achieving your work, ability to understand and implement specified procedures and identify possible risks that could affect outcomes, as well as coach and train staff.

What would really make you stand out is demonstrated leadership.

3. You must be passionate about customer service and have demonstrated work experience and/or educational training that highlights your skills.

What would really make you stand out to us is experience with helping clients through distressing or difficult situations.

4. You must have extensive experience liaising with high level officials either in local or foreign government agencies, or multinational organisations and ability to represent your organisation at high level meetings.

What would really make you stand out is experience with the diplomatic community.

5. You must have experience with the Microsoft Office suite of programs and use IT equipment effectively.

About the Agency / Department of Foreign Affairs and Trade (DFAT)

The role of DFAT is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position

Under general direction of the Consul, the Consular and Passports Assistant Manager provides passport and consular advice and services to Australian citizens in Vietnam.

The key responsibilities of the position include, but are not limited to:

  • Provide passport and consular advice and assistance;
  • Provide guidance to team members regarding passport matters;
  • Perform the duties and responsibilities of sub-collector of public monies and Custodian of consular change float;
  • Provide advice on the application of Vietnamese laws and other legal requirements;
  • Manage consular cases, e.g. welfare and whereabouts, medical evacuations, deaths, or hospitalisations;
  • Liaise with local official and organisations;
  • Provide interpretation and translation services, including at official meetings and functions, if required;
  • Prepare Diplomatic Notes, and maintain official records;
  • Maintain accountable documents stocks; and
  • Support other team members during absences / workload pressure times.

Qualifications/Experience

Essential:

  • Demonstrated English and Vietnamese language proficiency
  • Relevant qualifications, knowledge or experience in passport and consular services and management

Desirable:

  • Relevant qualifications or experience in the use and maintenance of information technology systems.
